Optimized process models require special instruments to ensure that their potential is actually realized. The alternative is improvisation and does not, for example, lead to controllable process processing times.

This guide leads step by step to the development of such an instrument, a user-guided workflow solution:

The basic principle of the solution worked out with the advisor consists in transferring the essential interfaces - defined in a process flow diagram - between the departments involved in the execution of the order into an MS Excel form. From this form, message files created in MS-Word are called up via hyperlinks when a new process status is set and sent to the next process participant by a mail system.

The guide explains the content and structure of the three components of a user-led workflow tool:

1. The Process Pilot contains two sample forms in the "Order" and "Execution" spreadsheets for the organizational units typically involved in a business process of order execution, from execution planning to financial accounting.The "Execution" worksheet is therefore divided into areas for the differentiated mapping of the process status and activation of the message system.  The process pilot is stored in the company network and requires a special rights management (read, area-related write).
2. The message system contains pre-formulated e-mails.
3. The operating instructions name the departments involved and regulate their responsibility for the maintenance of the files of the user-led workflow, their preparation and use for process control in order realization.

The procedure is divided into ten phases, which can be worked through step by step to achieve a reliable result.

The solution is suitable for controlling the execution of orders that have been acquired by the sales department on the market. In the template 0405-TM this is demonstrated with an example.
